I agree that I am the person authorized to consent to all Terms and Conditions, reservation of space acts as my willful and written consent, and that direct follow-up by phone or email is acceptable as needed.


Acting in its sole discretion, International Collectors Association (ICA) / Great Collectors Expo (GCE) reserves the right to reject any application for any reason.

The vendor (“Vendor”) agrees to be bound by each and every of the terms set forth herein and the terms and representations set forth in the Application, which is incorporated herein by reference as though fully set forth. If the Vendor violates any term of this agreement an, ICA/GCE or authorized agent may within their sole discretion and at any time (1) terminate this agreement, (2) require Vendor, immediately upon notice of violation of this agreement, to cease operations and vacate the premises, and (3) vendor shall forfeit any and all fees paid for the privilege of event participation.

This agreement represents the entire agreement between ICA/GCE and the Vendor and under mutual consent of both parties set forth in writing and signed by authorized representatives of ICA/GCE and the Vendor.

1. ICA/GCE agrees to provide each Vendor of the event with an assigned space(s). Vendors must supply all tables, chairs, equipment, and security. Vendors at their discretion may choose to rent tables, chairs, or other equipment as made available through ICA/GCE. Vendor agrees that any equipment, merchandise, or stored materials will not extend beyond their designated space, encroach on other’s space, or extend into common traffic areas that may result in inadvertent contact by attendees or other vendors.

2. Vendor agrees to obey all rules and instructions as directed by ICA/GCE throughout event period. Any failure to strictly adhere to such rules or instructions may result in the immediate termination of this agreement and immediate forfeiture of any and all fees paid.

3. Vendor hereby acknowledges its liability, and agrees to compensate ICA/GCE, for any damage(s) caused by, including but not limited to, its representatives, agents, employees, volunteers, members, vehicles, equipment, materials and objects to the venue or private propriety which causes ICA/GCE to pay for repair, replacement, or other remuneration for such. Vendor understands that that nothing may be used to permanently adhere items to walls, floors, or other venue space. Vendor agrees to not use any material that may potentially cause harm when removed such as packing tape, duct tape, etc.

4. As a courtesy to other vendors and event participants, any amplified sound or loud noise from Vendor’s space is prohibited. Exceptions made are on a case-by-case basis and must be approved in advance in writing by ICA/GCE.

5. ICA/GCE reserves the right to prohibit, within any booth or on the festival grounds, the display, advertisement, or other promotion of any business, company, or organization which may be in conflict with a current FMM sponsor. Any questions concerning current ICA/GCE sponsors should be directed to ICA/GCE prior to the event.

6. Vendor shall not display, offer for view or sale any illegal or contraband items. The laws of the State of Tennessee and local ordinances shall control. Vendors shall not display, offer for view or sale any items that are unlicensed and/or copies/interpretations of licensed or registered items.

7. Vendor understands and agrees that the ICA/GCE is intended to be, and at all times shall be, a family-friendly event. No display or item shall represent sexual, discriminatory, vulgar, profane or otherwise potentially insensitive content. Artistic representations and historical artifacts may be privilege to some moderate exception. Exceptions made are on a case-by-case basis and must be approved in advance in writing by ICA/GCE.

8. Vendor shall not sublet its space without the express written consent of ICA/GCE. ICA/GCE permits each space to be utilized by no more than two (2) organizations. Clubs, associations may be given leeway for designated members on a case-by-case basis and must be approved in advance in writing by ICA/GCE.

9. Vendor acknowledges and understands that it is solely responsible for the collection of any sales or use taxes and shall in no way hold ICA/GCE or its representatives responsible for any type of permits, licenses, certifications or similar legal requirements.

10. No refunds shall be given due to cancellation or interruption of the event for reasons beyond the control of ICA/GCE. These reasons include, but are not limited to weather, acts of God, acts of terrorism, or governmental intervention.

11. Vendors expressly agree that ICA/GCE nor event venue accept no responsibility for items left overnight. Vendor is solely responsible for the security of their items, inventory, and possessions while on event premises.

12. ICA/GCE makes no representation or guarantees of actual event attendance. It is understood by vendor(s) that attendance is largely due to self-promotion activities. Vendor(s) are highly encouraged to be an active participant in promoting their participation. Any promotion MUST be fair, honest, and actively reflect event. Vendor understands that any unfair, dishonest, or negative promotion will subject them to event eviction, inability to participate in future events, and forfeiture of all sums paid.

13. Vendor understands that ICA/GCE has no control over weather, acts of God, acts of terrorism, or governmental intervention, or any other cause that may prevent, and or interrupt, the event, and participants shall hold ICA/GCE harmless for any losses that could arise because of such event.

14. ICA/GCE reserves the right to place Vendors in alternate locations at the complete discretion of ICA/GCE. ICA/GCE shall have sole and complete authority to place the participant in any location contained in the event, irrespective of the participant’s request or previous selection.

15. Vendor agrees they will be active in the setup process at a minimum of 2 hours before event opens to public attendees.  If vendor is not active in the setup process during this time vendor agrees their placement may be given to another vendor either on a waiting list or on day arrival. Vendor understands and agrees that extra administrative burden of such alternate vendor placement creates significant encumbrance to ICA/GCE and as such forfeits all previous paid fees, to include any space and/or equipment rentals.

16. Vendor upon vacating its space(s) shall ensure that such space shall be free of any and all trash and refuse with such being placed in the appropriate containers. Failure of the Vendor to clean their space may result in future refusal of Vendor participation and labor fees applied for any required cleanup.

17. Vendor certifies that it maintains adequate liability insurance to cover any and all occurrences which may result in the damage or injury to any person or thing within the confines of the Vendor’s space or as a result of the Vendor’s actions at the event or while on venue premises.

18. All fees shall be paid in advance of setup using the online registration process.

19. Vendor acknowledges that participating in any event presents risk and potential exposure to communicable disease, shall endeavor to maintain a safe and sanitary environment, shall practice personal hygienic care, and accepts all personal responsibility to attending parties.

20. Vendor agrees to provide no food or beverage, including samples, to attendees without the express written consent of ICA/GCE. Vendor is solely responsible for any food or beverage provided.

21. No smoking, vaping, or dipping is allowed while inside the venue or within 100 yards of venue attractions, which may be located outside.

22. Vendor(s) understand the health, safety, and enjoyment of everyone is of the highest priority and shall not conduct any activities which may interfere with enjoyable participation or attendance by attendees, other vendors, staff, guests, or other parties.

23. Vendor(s) understand that this agreement may be modified at any time at the sole discretion of ICA/GCE, and agree to abide by any modifications made at any point. When/if modifications are made public notice will be provided via the “Terms” section located on the event website.

24. Any questions, comments, concerns should be directed to relevant ICA/GCE staff. Vendor(s) understand that ignorance shall not be viable excuse for not following all terms and conditions either laid out in the Terms agreement or otherwise provided or made available through private agreement or public availability.
